Double Exposure Investigative Film Festival and Symposium (DXFEST.com), a project of 100Reporters news organization, is the nation’s first and only festival dedicated to investigative storytelling on film. It combines four days of film screenings showcasing the best in new investigative cinema with a three-day professional symposium for journalists and filmmakers. The fifth edition will take place October 10-13, 2019.

The Hospitality Coordinator is responsible for overseeing and managing all hospitality (travel, hotel, and itinerary) for the guests of Double Exposure. The Hospitality Coordinator performs all duties and responsibilities under the guidance and supervision of Festival Co-directors and the Festival Manager.

We are looking for someone who is highly organized, detail-oriented, and calm under pressure. A commitment to excellent communication, dependability, strong work ethic, ambassadorship, and confidentiality are essential. Candidates will be team-oriented, self-motivated, and should demonstrate strong written and verbal communication skills. It is important to have past experience working in a fast-paced environment and have demonstrated ability to multitask and juggle rapidly shifting priorities. A track record in hospitality and/or travel coordination is preferred. The successful candidate will be enthusiastic and compelled by the mission of the festival and symposium.

This is a seasonal contract position, running from September 3, to October 18, 2019.

Description of Position:

RESPONSIBILITIES:

  • Organize travel and accommodations for invited guests;
  • Create and update a guest services timeline/schedule;
  • Work within a budget and timeline to purchase airfares and book hotel rooms for guests;
  • Work with Festival Manager on determining levels of hospitality support provided;
  • Find alternative stays (outside of contract) for guests if appropriate;
  • Assess guest needs (dietary, language, etc.) and work with Festival Manager to accommodate guests with special needs;
  • Create guest itineraries and packets including screening and hospitality schedules;
  • Supervise volunteers to help with all duties regarding hospitality;
  • Liaise with Festival Manager for guests’ comps tickets and party invites;
  • Delivery of wrap report, including job specific reports and files, must be completed and sent to the Festival Manager by October 18 for successful completion of this assignment;
  • All other duties as assigned.

QUALIFICATIONS:

The successful candidate must be able to perform each essential duty satisfactorily.   • 1-2 years of previous festival or film exhibition experience required
  • 1-2 years of previous hospitality experience preferred;
  • College degree preferred;
  • Strong organizational and administrative skills along with the ability to multitask efficiently;
  • Good communication skills and willingness and ability to share information in a fast-paced environment;
  • Database experience, such as Microsoft Office, Google Drive, and/or Airtable required;
  • Working knowledge of popular travel sites and ability to do research resulting in best transportation fares;
  • Must demonstrate a friendly and cooperative attitude with guest contacts, volunteers, vendors, donors, sponsors, and event staff;
  • Knowledge of DC area preferred.
